Voicemail Services
Voicemail services part of a virtual phone system allow you to send and receive messages from any telephone in the world. It takes away the problem of dealing with busy secretaries and receptionists trying to get your messages while you were away, and besides, it offers some additional functionalities, as you can broadcast one message to many employees, regardless of timezone, location, so you will be able to keep in touch with everyone in the office. Voicemail services also have the advantage of being 24x7, so you can always leave your employees a voice mail. You can also setup a 1-800 voicemail number so that customers can call it for free and leave you messages. This services is known as toll free voice mail. Another interesting option is to setup call forwarding to your voice mail so that whenever you are unable to take calls or just don't feel like talking, people will still be able to leave you a message, so that you can get back to them.
Voicemail services have some advantages over email as for example they are more widely accessible in a sense that there is a telephone almost everywhere you go, while computers with internet connection are not that common. What's more, a voice mail carries more information because it conveys the caller's meaning through the tone of voice. With voicemail services, callers can hear a personalized greeting so they will be more susceptible to leaving a complete message.
Whenever you are unable to take a phone call, the voicemail service kicks in and automatically transfers callers to your personal voicemail box. The voicemail box works like your own answering machine. Once the caller saves his message, you can read it when you want and return calls when it's convenient for you. All you have to do is a dial a number given by the voicemail service provider and no matter where you are, you will be able to listen to all messages in the mailbox.

There are some additional features included, but this depends to a great extend on the voicemail service. The first one consists of quick access to messages, as the last message is heard first. The message time could be up to 5 minutes but it depends on the provider, so you should check on that before registering. Wake-up and reminder calls can also be setup. You are also able to select a pre-recorded greeting or make your own one. Security is an issue as always, and to guarantee that you are the only one with access to the mailbox, you will be given a security code. The voicemail service will automatically notify you of any new messages you may have received through a text alert which is perfect if you don't want to be disturbed. Or you can set the service to Ring Alert which means your Voicemail will call you when a message is received. A recorded message tells you how many messages you have and plays them back to you. |
